Challenge

 Johnsons Business Moves were awarded the file management and consolidation project taking place at Nottinghamshire Healthcare NHS Foundation Trust. The Authority originally had two storage facilities where it held approximately 51,000 boxes of medical records split between the two sites. Due to increased demand, a larger site was acquired, and the decision was taken to relocate the boxes and slides to a central location with room for expansion.

Solution

 We undertook the sequential packing and unpacking of the filing and slides, incorporating the files from the two sites and leaving enough room for the integration of new files in the future.

With approximately 51,000 boxes to be delivered, we provided a dedicated Move Management Team who were on site to run the project from inception to completion. We attended pre-planning meetings where our Move Manager carefully structured a programme to ensure the files were moved with precision and in accordance with data protection and confidentiality regulations.

In addition to this, we were required to complete the works alongside the racking company who were installing the new racking systems. Only when the racking was installed could we progress with the relocation of the files.
