Challenge
Following the success of the space utilisation study we undertook, Johnsons commenced with the internal restack within the Severn Trent Centre at St. John’s Street. This involved the restack of circa 340 staff across five floors in the building completed over two phases involving the following:
Project planning and management for the restack of STC 3rd, 5th and 7th floor
Supply of relocation teams to complete the restack over two phases
Supply of crate hire to facilitate the restack activity over two phases
Liaising with key client stakeholders/move champions
Creation of block and stack plan
Attending project set up meeting to conduct project kick-off and agree final scope/project governance
Pre-relocation planning/scheduling/meeting days
Post-move/lessons learnt liaison
Relocation of confidential filing
Providing specific move guides with all key tasks/information/dates to ensure all pre-move activities are correctly completed by Severn Trent Water staff
Completing detailed and full relocation scheduling and timeline baseline for all relocation activity to seamlessly follow
Ensuring all resources/crates are booked in line with the project requirements
Ensuring regular communication and single point of contact with Severn Trent Water
Project managing the internal IT and cable management team
Facilitating the staff feedback process
Solution
To ensure the move went as smoothly as possible, we provided STW with a dedicated Move Manager for the duration of the move.
Their main responsibilities were:
BUG (Business User Group) meeting with all Move Champions. Key outputs to ensure that everyone understands the packing and labelling strategy and Q&A regarding the relocation process
Engagement with circa 6-9 Severn Trent Move Champions
Detailed planning with each Move Champion for each of their team that is relocating (IT set-up, height-adjustable desk, filing audit/requirements, DSE chairs etc.)
Mapping of all IT/height adjustable desks/phones/storage on to floor plans for use by Severn Trent FM/Scenario/Johnsons move teams
Planning and managing the sequencing of team relocations over two phases
Result
Overall the project was a success, with Johnsons staff completing the large relocation process in the given time frame. The Move Manager in attendance throughout the weekend project ensured the relocation ran seamlessly, attending the site two days prior to check everything was prepared for the move.
